Administrative Assistant

ESSENTIAL FUNCTIONS:

 

This is a clerical position of moderate difficulty, providing administrative support to the overall office and finance departments.

 

Work is performed in accordance with standard, well-established procedures, easily learned work methods or detailed prior instruction with supervisory advice and assistance.

 

RESPONSIBILITIES INCLUDE:

 

Mailing, scanning, copying, maintain mail log, maintain office equipment.
Answer calls and greet customers regarding their inquiries.
Maintain electronic and hard copy filing system.
Order office supplies and maintain inventory control.
Prepare and modify documents.
Reconcile vendor invoices.
Code invoice with vendor and general ledger numbers.
Reconcile payable reports for accuracy.
Process Accounts Payable checks.
Respond to inquiries pertaining to payment status.

 

KEY QUALIFICATIONS:
 

Good communication skills, both verbal and written.
Extremely organized, detail oriented and results-driven.
Excellent organizational skills.
Self-starter able to follow through on given tasks, including research and presentations.
Ability to perform multi tasks.
Technical skill in using Microsoft applications including PowerPoint and Excel. 
Knowledge of accounting software a plus.
